About the Extension

With safefive E-Invoicing you can prepare your Shopware 5 store for e-invoicing and the upcoming legal requirements for B2B transactions in Germany.

When creating invoices, the plugin automatically generates the appropriate ZUGFeRD / Factur-X data and embeds it directly into the familiar PDF invoice. Your customers receive a hybrid PDF/A-3 document: readable as a regular PDF while also being machine-readable for modern accounting and ERP systems.

Your existing Shopware workflow remains unchanged. Create the invoice – done. The e-invoice data is generated automatically in the background.

E-invoicing is becoming mandatory in Germany

Since January 1, 2025, domestic companies have generally been required to be able to receive e-invoices.
Transition periods apply to the mandatory issuance of e-invoices for domestic B2B transactions:

until December 31, 2026: companies may continue to issue conventional invoices.
until December 31, 2027: companies with annual revenue of no more than EUR 800,000 in the previous year may continue to use the transitional arrangement.
from January 1, 2028: e-invoicing will generally be mandatory for the affected domestic B2B transactions.

With safefive E-Invoicing, you can switch your existing Shopware 5 store to structured invoicing today – without rebuilding your existing processes.

Flexible to meet your requirements

You decide which documents receive e-invoice data. An individual XML template can be configured for each document type.

After installation, only a few settings are required to automatically generate e-invoices together with your Shopware invoices.

Install and activate the plugin

Install safefive E-Invoicing as usual via Shopware's plugin manager and then activate the plugin.
The required e-invoice templates are included automatically.

Check the company name

Open:
Settings → Basic Settings → Shop Settings → Master Data
Check the following field:

Company

The company name is used as the seller name in the e-invoice. If the field is empty, the plugin uses the shop name instead.

Enter seller data in the plugin

Open:
Settings → Plugin Manager → safefive E-Invoicing → Configuration
Enter your seller data:

Street – street and house number
ZIP code – postal code
City – company location
Country ISO code – use DE for Germany
Tax number
VAT ID – e.g. DE123456789

Street, ZIP code, city, and country ISO code must be entered completely.
If the seller address is incomplete, no e-invoice will be generated. The regular PDF invoice will still be created.
The tax number and VAT ID should also be entered completely.
Important information about the seller address
The address shown in the visible PDF invoice is still maintained through Shopware's PDF document configuration.
Open:
Settings → Basic Settings → Shop Settings → PDF Document Creation
Make sure that the seller address used there matches the information entered in the configuration of safefive E-Invoicing.
This ensures that the PDF and the embedded e-invoice contain the same company data.

Configure e-invoicing for the required document types

Open:
Settings → Basic Settings → Shop Settings → PDF Document Creation
Select the relevant document type and choose the required template in the “E-Invoice Template” field.
Recommended:

Invoice: ZUGFeRD EN16931 invoice
Credit note: ZUGFeRD EN16931 Credit Note
Delivery note: No template
Other document types: as required

Selecting “- No Template -” means that no e-invoice will be generated for that document type.
Note: After installing or updating the plugin, you should check the template assignment for all existing document types once.

Create a test invoice

Open an existing order in the Shopware backend and create a new invoice via Documents.
Then download the generated PDF.
The PDF additionally contains the structured e-invoice as an embedded file:
factur-x.xml
The visible invoice remains unchanged for you and your customer.

If no e-invoice is generated

Check the following first:

Is the company name entered in the Shopware master data?
Are street, ZIP code, and city entered completely in the plugin configuration?
Is the country ISO code entered, e.g. DE?
Has an e-invoice template been assigned to the document type?
Is the selected template active?

If required seller data is missing, the regular PDF will still be generated, but without an embedded e-invoice.

Custom e-invoice templates

Under:
Settings → E-Invoice Templates
you can view the included XML templates and create your own templates.
This is not required for normal operation. For invoices, you can usually use the included ZUGFeRD EN16931 invoice template directly.
If you want to customize one of the standard templates, create your own copy first and edit that copy.
