Give product catalogues, installation guides and trade documents a clear home in your shop. The Download Portal lets you organise files in folders and decide which visitors can access them.

Three ways to share your documents

Public access: Offer documents without a login. Additional rules can still restrict access.
Email opt-in: Visitors request access with their email address. Opening a valid verification link unlocks the portal in their browser session.
Customer access: Limit downloads to logged-in customers and optionally to selected customer groups, such as your trade partners.

Access rules down to individual files

Assign existing Shopware rules to portals, folders and files. Each assigned rule must match the current shop context. Parent folder rules also apply to nested folders and their files. This gives you a way to maintain general information and restricted resources within the same library.

Private uploads, organised content

Upload files directly from the explorer to private plugin storage. The plugin checks portal access and assigned rules before serving a file through its download route. You can also assign existing Shopware media. Their public media URLs do not become private as a result.

Your team manages folders, titles, descriptions and display order in the explorer. Move folders and files using drag and drop. In the shop, visitors navigate a folder tree and select file tiles showing the file type and an optional description. Empty folders and folders without authorised content are hidden.

Place downloads where visitors need them

Add the Download Portal CMS element to a Shopping Experience and select a portal. Assign the layout to your shop page to present service documents, product information or partner resources as part of your existing storefront.

Review access requests and file requests

The opt-in log shows requested and verified access. Set verification link validity in hours for each portal. You can also enable logging for authorised download requests and configure IP storage and access log retention. A log entry does not confirm that a file download completed.

Set up your Download Portal

Check installation: Install and activate the extension under Extensions > My extensions. Reload administration and check the delivered administration and storefront assets and theme compilation in your deployment.
Open extension settings: Open the extension configuration. Enable the plugin for the required sales channel. Enable access logging if needed. IP addresses are stored only when the relevant setting is enabled. Access log retention defaults to 30 days; 0 keeps entries indefinitely. Automatic cleanup reads the global retention setting, so configure it with all sales channels selected.
Create a portal: Go to Content > Download portal and click Create portal. Enter a name, enable Active and choose an Access variant: Active for all, Opt-in with email verification or Only logged in customers. Optionally select an existing Rule. The rule adds a condition to the selected access variant.
Set customer access: Customer mode reveals Allowed customer groups. Select the permitted groups. With no groups selected, all logged-in customers can access the portal if the additional portal rule also matches. Save the portal settings.
Prepare email opt-in: Opt-in mode reveals Verification link validity (hours). Set a duration, such as 24 hours. A value of 0 means the link never expires. This is not a session timeout.
Check the verification email: Under Settings > Shop > Flow Builder, review the installed Flow named Download-Portal: Opt-In-Bestätigung senden and its email action. Check the opt-in confirmation template under Settings > Shop > Email templates. The trigger is the access request, rather than the later verification. Configure mail transport, sender details, translations, Flow indexing and workers where needed. Confirm that the email actually arrives.
Manage content: In the portal list, open the action menu and choose Explorer. Use Add folder to create folders and nested folders. Select a folder or file to edit its name or title, description, position and Rule in the details panel. Changes in the details panel save automatically. Navigate between levels with the folder tree and breadcrumbs. Move folders and files by dragging them onto folders in the tree.
Add files: Click Add media in the required folder. Choose a local file for a private upload or select an existing file from the media library. Complete the fields and confirm with Save. Existing public Shopware media remain in public storage. Use direct uploads for files that should not be accessible through public media URLs. Server and PHP settings also determine upload limits.
Assign a Shopping Experience: Go to Content > Shopping Experiences. Add the Download portal block from the Commerce category or use the Download portal element. Select a portal in the element configuration and save the layout. Assign the Shopping Experience to the relevant category or shop page. The CMS editor shows a placeholder; the actual library appears in the storefront.
Test the journeys: Use fictional data to check the public portal, customer login, allowed groups and blocked groups. Test portal, folder and file rules through direct download links as well. For opt-in, test the request, email arrival, valid and expired links and a new browser session. Check the HTTP-cache configuration used by your shop. Review Opt-in logs and Access log in the portal action menu. Access logs record authorised requests before file delivery.

Scheduled tasks and message-queue workers are required for automatic access log cleanup. This cleanup does not remove opt-in logs.
