Follow up on open payments automatically and professionally

Onlineschmiede Payment Reminder & Dunning automates the entire dunning process in Shopware. Instead of tracking open invoices manually, the system handles rule-based, multi-stage reminders by e-mail, including optional status adjustments. Everything is natively integrated in Shopware, via cron, rules, mail templates and status changes.

Rule-based and multi-stage

Individual rules per sales channel, payment method and payment status as a trigger, with exclusions by order, payment and delivery status.
Configurable dunning stages (default 3) with a label and interval in minutes: stage 1 from the order date, follow-up stages from the last reminder.
Own e-mail template per rule and an optional change of payment, order and delivery status after dispatch.
Optionally consider only orders from a cut-off date.

Queue & dunning history

“Payment reminders" overview (Marketing) with status (due, scheduled, completed, ended), filters by channel, date, status and next dispatch plus a search by order number.
Dunning history per order as a timeline: date, stage, template used with a link and status changes, plus the matching rules and active exclusions.

Automation & logging

Scheduled task every 15 minutes, dispatch via the Shopware mail queue; the last cron run is shown in the configuration.
Traceable history: a send log per stage plus a file log for cron and technical errors; invalid status combinations are blocked in the admin.

Duplicate payment reminders are now prevented

It is no longer possible to save multiple reminder rules that apply to the same orders at the same reminder stage.

The validation considers the reminder stage, payment status, payment method, and assigned sales channels. If rules overlap, a clear error message is displayed.

The validation now runs directly in the backend and therefore also applies to changes made through the Admin API or Store API.

Technical optimization

Unused validation checks have been removed. This change does not affect the existing functionality.

Changed

The three reminder email templates have been made more neutral and are no longer tied to a fixed brand. They now automatically reference the shop’s own sales channel.
The technical processing of payment reminders has been improved and made more stable.
Payment reminders are now processed more safely, preventing the same reminder stage from being sent twice in case of an interruption.
The technical checks for database changes have been aligned with Shopware standards.
The permissions for the “Rules” section have been corrected and better aligned with the actual Admin API.
The admin queue processing has been technically improved and now validates input more precisely.

Fixed

Failed email deliveries are no longer incorrectly saved as successful. This allows the reminder to be retried correctly during the next run.
The stage editor now detects duplicate stage numbers.
The stage editor now also checks whether later reminder stages are accidentally configured with shorter intervals than earlier stages.

Removed

Removed a no longer required manual registration of administration snippets, as Shopware detects them automatically.
