React early before products sell out

With the Instant Stock Notification plugin, configured recipients are notified by email immediately after checkout whenever the stock of an ordered product falls below its defined minimum level.

The check is performed directly after the order is placed rather than later through a scheduled task. This allows purchasing, warehouse and shop management teams to react before an important product sells out completely.

Current stock warnings in one central overview

Triggered stock warnings are also displayed under Catalogues > Stock warnings while the current stock remains below the saved minimum level.

The clear overview displays information including:

• Product image and product name
• Product number and variant
• Current stock
• Defined minimum stock
• Selected stock type

The affected product can be opened directly through its image or name. Once the stock has been replenished and reaches at least the saved minimum level, the warning is automatically removed from the overview.

The currently displayed stock warnings can also be exported as a CSV file for further processing by purchasing or warehouse teams.

The overview deliberately focuses on warnings that currently require attention. It does not include an unnecessary history or a manual “Completed” status.

Flexible minimum stock configuration

An individual minimum stock level can be maintained for each product through a product custom field. If no individual value is defined, the plugin uses the global fallback minimum stock from its configuration.

The technical name of the custom field can also be configured. This makes it possible to use an existing product custom field when required.

For variants, the value assigned to the specific variant is checked first. If no minimum stock is defined there, the value of the parent product and then the global fallback can be used.

Control when notifications are sent

Different notification modes determine when another warning should be sent:

• Once per low-stock phase
• With every order while stock remains below the minimum
• Whenever stock falls further after a previous warning

Notifications can be grouped into one email per order or sent separately for each affected product. Multiple recipients can also be configured.

Customisable mail template

Notifications are sent through a dedicated Shopware mail template. The subject as well as the HTML and plain-text content can be customised in German and English within the Shopware Administration.

The email contains information including the product, product number, variant, current stock, minimum stock, sales channel and the order that triggered the warning.

Direct administration links provide quick access to the affected product and the related order.
