Product Configurator File Upload: artwork arrives with the order

About the Extension

Add-on plugin – requires the Product Configurator (SwpProductOptionsSix). This plugin works exclusively as an extension of the base plugin Product Configurator (SwpProductOptionsSix). Without the installed, active, and separately purchased base plugin, this plugin has no function.

A customer orders 500 business cards. The configuration is done, the order is placed. Then the ping pong starts. Where is the artwork? In which format? And which of the three order lines does that file in your inbox actually belong to?

The problem

Personalised products sell well. The paperwork behind them is the problem. Artwork, logos and engraving templates almost always arrive separately from the order: by email, through a file hosting link, sometimes only after the second reminder. Someone on your team has to match the file to the right order line, check the format and park the job until then.

That costs more than time. It costs turnaround. With ten orders a day, sorting and chasing adds up to half an hour of manual work nobody pays for. And the order whose file never arrives only surfaces when the customer complains two weeks later.

The solution

This plugin adds one option type to the product configurator: a file upload. The customer drops the file exactly where it belongs, on the option of that specific line. Either on the product page while configuring, or after checkout on a dedicated upload page they reach through a link in an email.

Which file types you accept, how large they may be and how many per line: you decide that in the configuration beforehand. Anything else is rejected in the customer's browser.

What's in it for you

The file sits with the order, not in a mailbox. Uploads from the cart move into a folder named after the order number as soon as the order is placed. In the order view in the backend you download them in one click. No digging through email threads, no manual matching.

Wrong formats never reach you. You pick the allowed MIME types from two lists: images from PNG to PSD, application formats from PDF to PPT. A customer who uploads a Word file when your production needs PDF gets a clear error straight away instead of a rejection three days later.

The plugin chases missing files for you. If a customer has not uploaded anything within the period you set, a reminder email goes out automatically, with a direct link to the upload page for the affected line. The default is 14 days. The template lives in the backend as a regular Shopware email template and can be edited there.

You see at a glance which order is still waiting. The plugin adds the order status "Waiting for files". Orders with an open upload get it automatically when they come in. Once the customer confirms the uploads are complete, the order goes back to "Open" and rejoins your normal workflow.

Old uploads clear themselves out. Carts that never became an order otherwise leave orphaned files on disk. A daily cleanup run deletes those uploads after a retention period you define.

Every sales channel decides for itself. Uploads up to 100 MB in the trade channel, none at all in the consumer channel: the on/off switch and every setting belong to the sales channel, not to the whole shop.

How the plugin works

A new field type appears in the option group of the product configurator. Select it and an upload area shows up on the product page. The customer drags files into it or picks them through the normal file dialog. Uploaded files are listed, and depending on your setting they are removed either through an icon in the row or through a collected trash area.

Set the upload to "after the order" instead and the product page stays lean. The customer buys first and then gets a page where they add the files for each line. That page shows order number, product and the selected option, so it is obvious which file goes where.

Two settings get you started in the backend: the upload limit in megabytes and the file types you accept. A note on the configuration page shows the limit your server actually allows through PHP, so you do not set 200 MB that can never get through.

Typical use cases

Print and signage. Business cards, flyers, banners, stickers. The customer uploads PDF, EPS or PSD directly to the configured line, along with the run length and paper stock chosen in the configurator.

Garment decoration and promotional items. 200 polo shirts with a company logo. The logo arrives as a vector file with the order, not three days later by email from the customer's marketing team.

Engraving and personalisation. Trophies, signs, jewellery. A photo or a line of text lands on the line it belongs to, even when a customer orders five different engravings in one basket.

Anything sent in later. If your customers typically think about the files only after buying, set the upload to "after the order" and let the reminder email do the chasing.

Technical facts for your IT team

Shopware 6.7 and PHP 8.2 or newer.

Add-on plugin – requires the product configurator (swp/productoptions-six) from version 6.7.12 and does nothing without it.

No changes to Shopware core tables. The plugin adds one order status to the existing state machine plus an email template type, and stores its settings in the system configuration.

Files are kept in the project directory under files/plugins/productoptionsuploads, separated by cart and by order. They go neither into the media library nor into the database. The backend download runs through a dedicated route that requires a login and the "order:read" privilege.

The plugin sends no data to external servers. There is no cloud connection, no tracking and no outbound interface. Customer files stay on your server, and the reminder email goes out through your own Shopware mail setup.

Every upload is validated on the server: MIME type against your whitelist, content against embedded PHP tags, and SVG also against scripts and event handlers. Path segments are guarded against directory traversal and symlinks are refused.

Reminders and cleanup run as two tasks in the Shopware scheduler, once a day each. If you do not use the scheduler, two console commands do the same job from a cron job. Checkout gets no extra queries; the work happens on upload and when the order is placed.

Uninstalling without "keep user data" removes the configuration, the email template and the added order status again.

To be honest

Without the product configurator plugin underneath, this one does nothing. It is an extension, not a standalone upload field for arbitrary products.

And it does not inspect your artwork. No preflight, no resolution check, no colour space validation, no preview. The plugin accepts the file, files it with the right order line and keeps it ready for you. What is inside remains your production's call. Uploaded customer files are also left behind when you uninstall; they stay in the directory until you remove them.

Enable it in one sales channel and walk a real order through it before you switch it on everywhere.
