About the Extension
Monday morning. Your accountant wants last month's orders, your warehouse wants yesterday's, and your fulfilment partner only wants the paid ones. So you filter the order list, copy, rebuild the columns in a spreadsheet and hope nothing went out twice.
The problem
Every system that takes your order data wants its own layout: different columns, a different delimiter, a different character encoding. A manual export fixes that once. Next week you are back at the start. And manual work leaks: one order missed, one booked twice, a customer name with an accent that turns into gibberish in Excel.
The solution
You create one export profile per recipient: which fields, which format, which orders. The plugin builds the file from it, on demand or on a schedule, and sends it by email or SFTP to wherever it is needed. For every profile it remembers which orders have already gone out.
What's in it for you
Month-end exports run themselves. A profile set to "Monthly", day 1, 06:00 with the period "Previous month" sends the file before you have opened your laptop. Daily and weekly work the same way.
No order twice, none forgotten. Switch on "Only orders not yet exported" and the profile skips everything it has already delivered. You decide whether an order counts as exported once the file exists or only after a successful delivery. The order detail page shows when each profile exported it.
The file fits the target system, not the other way round. 143 fields in 11 groups, plus custom fields of the order, customer, addresses, line item and product. Rename any column header and drag the columns into order. One row per order for accounting, one row per line item for your warehouse.
Excel shows every character correctly. Choose UTF-8 with BOM, Windows-1252 or ISO-8859-1, and pick your own delimiter and enclosure. Or skip CSV and go straight to Excel (XLSX) with a frozen header row and filters. Formula protection stops a customer comment starting with "=" from running as a formula in the spreadsheet.
Long periods do not time out. The export runs in the background in steps while you keep working. A progress bar shows where it is, and a stalled export resumes on its own.
Your data stays under your control. Delivery by email, SFTP or FTP is switched off out of the box and only works once you allow it in the settings. Credentials are stored encrypted, and for SFTP the plugin can check the server's key fingerprint. Separate permissions keep "Start exports" apart from editing profiles and from setting up delivery.
How the plugin works
Under Orders you will find the new menu entry "Export orders" with four tabs: Export, Profiles, History and Settings.
- Profiles: fields, file format, filters, time zone, export language, file name, schedule and delivery. Duplicate a finished profile for the next recipient.
- Export: pick a profile and a period, check the preview, start the export, download the file. For a single run you can narrow it down further by sales channel and delivery country.
- Filters: sales channel, delivery and billing country, order, delivery and payment status, payment and shipping method, customer group and tags. The period can refer to the order date or the order creation date.
- Periods: from "Today" through "Previous month" and "Previous quarter" to "Previous year", plus "Since last export", "All orders" and a custom date range.
- History: every run with trigger, user, number of orders and rows, delivery result and a fresh download. After 1 to 180 days (30 by default) the plugin deletes runs and files automatically.
- Order list: select orders, click "Export selection", choose a profile. Up to 100 orders per selection.
For server-side automation there is the console command bin/console swp:order-export:run with period, profile and options for sales channel, delivery country, output to STDOUT and delivery.
Typical use cases
- Accounting: on the first of the month last month's orders go to your accountant as CSV, with invoice number, invoice date, net amount, VAT per tax rate and payment method.
- Warehouse import: every morning at 06:00 all new orders land in the import folder via SFTP, one row per line item with product number, GTIN and quantity.
- Fulfilment partner: a profile filtered on payment status "Paid" and one shipping method. Your partner only receives what they are meant to ship.
- Several currencies: you sell in GBP and EUR? Currency (ISO code) and currency factor are fields like any other, so your finance team can convert in the spreadsheet.
Technical facts for your IT team
- Shopware 6.7, PHP 8.2 or higher. The Administration screens are available in English, German and Dutch.
- Three tables of its own for profiles, export runs and the export status per order. Original Shopware tables stay unchanged.
- The plugin only reads orders, it never changes them. It has no storefront parts and does not touch checkout or order placement.
- Processing runs through the message queue in steps of 250 orders by default (configurable from 50 to 1,000). Requirement: running scheduled tasks and a running worker (scheduled-task:run and messenger:consume).
- The plugin sends no data to us or to anyone else. Data only leaves the shop once you allow delivery, and only to the recipients and servers in your profile. Shopware's own mail system sends the emails, using a dedicated mail template in English, German and Dutch.
- Export files are kept in the shop's private file storage, which is not publicly reachable. SFTP and FTP credentials are encrypted with the shop's app secret.
- If you remove the plugin's data when uninstalling, it deletes its tables, the mail template and all export files.
To be honest
The plugin does not produce a DATEV file and does not import anything back into the shop: it exports, it does not import. Without running scheduled tasks and a worker, exports simply wait in the queue, so sort that out once with your host. Settings apply to the whole shop; you separate sales channels through the filters in each profile. Try it with a profile for your next month-end file.
